Send & Sign: Sending Waivers for E-Signature

Overview

Send & Sign lets you request a lien waiver signature from a subcontractor (or "sub") by email. You fill in the project details, the sub receives a personalized signing link, signs electronically, and the signed PDF lands back in your dashboard. No printing, no scanning.

This is a Pro feature, available at $19/mo. If you're on the free plan, you'll be redirected to the upgrade page.


Creating a new waiver request

Go to Dashboard > Send & Sign, then click New Request.

  1. Link to a project (optional). Select an existing saved project from the dropdown to pre-fill the project name, address, owner, and general contractor (GC) name. You can also create a new project inline by clicking "+ Create New Project." If you skip this, fill in the details manually in the form below.

  2. Enter subcontractor details. Type the sub's name and email address. These are required. If you have saved contacts, select one from the "Load from saved contact..." dropdown to auto-fill the name and email.

  3. Select state. Choose the state where the project is located. This determines which waiver types are available and what form language is used.

  4. Select waiver type. Available types depend on the state. Common options include:

    • Conditional waiver on progress payment
    • Unconditional waiver on progress payment
    • Conditional waiver on final payment
    • Unconditional waiver on final payment
  5. Fill in payment details. Once a state and waiver type are selected, a form appears with the fields required for that state's waiver. At minimum this includes the payment amount. Some states require additional fields like a "through date," job number, or county.

  6. Notarization notice. If the selected state requires notarized waivers (Mississippi and Wyoming), a warning appears. The sub will receive the waiver for download but cannot sign electronically. They'll need to print, sign before a notary, and return the waiver manually.

  7. Send. Click Send Waiver Request. The sub receives an email with a unique signing link immediately.


What the subcontractor receives

The sub gets an email from LienWaiver.pro with a link to their signing page. No account required on their end.

On the signing page, they go through 2 steps:

Step 1: Your Information. The sub confirms their company name (pre-filled from the request) and optionally adds their address and phone number. If you included those details from a saved contact, this step may be skipped automatically.

Step 2: Review & Sign. A watermarked PDF preview of the waiver is shown inline. The sub types their full name as a signature, optionally adds their title, checks the ESIGN Act consent checkbox, and clicks Submit Signature. Their typed name constitutes a legally binding electronic signature under the ESIGN Act (15 U.S.C. 7001) and UETA.

The sub can also decline the request at any step by clicking the Decline button and providing a reason. You'll be notified.

After signing, the sub receives a confirmation email with the signed PDF attached.


Tracking request status

Back in your dashboard, each request shows a live status badge:

Status Meaning
Sent Email delivered, sub hasn't opened the link yet
Viewed Sub has opened the signing page
Downloaded Sub downloaded the PDF (notarization states)
Signed Sub completed the e-signature
Declined Sub declined and provided a reason
Expired The signing link expired before the sub signed
Cancelled You cancelled the request
Bounced Email could not be delivered to the address

Requests are grouped into Needs Action (awaiting response), Completed (signed), and Other (declined, cancelled, expired). Use the filter pills and search bar at the top to narrow down by status, project, or sub name.

The list updates in real time. You don't need to refresh the page.

Resending. For pending requests (Sent, Viewed), use the Resend button to re-send the signing email to the sub. For declined or cancelled requests, use Resend to open a new request form pre-filled with the original details.

Automatic reminders. LienWaiver.pro sends follow-up reminder emails on your behalf. The reminder count and last reminder date show in the request list. See the Automatic Reminders guide for details.


Downloading signed waivers

Once a request shows Signed, click the Download PDF button in the request list, or open the request detail page and download from there. The PDF includes the sub's typed signature, signing date, and waiver details.
