How automatic reminders work

When you send a waiver request through Send & Sign, LienWaiver.pro automatically follows up with the subcontractor (sub) if the waiver is still unsigned. You don't have to track down anyone manually.

Reminders fire at these cumulative intervals after the original send:

Reminder Days after sending Urgency level
1st Day 3 Standard follow-up
2nd Day 7 Standard follow-up
3rd Day 14 Standard follow-up
4th Day 21 Elevated: expiration date shown
5th Day 28 Elevated: expiration date shown

After the 5th reminder, no further reminders are sent. Reminders only go out if the request is still in "sent" or "viewed" status and has not yet expired.

Reminders are a Pro feature. They won't fire for Free plan accounts.

What the reminder email looks like

Each reminder goes directly to the sub's email address. The email includes:

  • The project name and address
  • The waiver type (e.g., California Unconditional Progress)
  • Payment amount and through date, where applicable
  • A button to review and sign the waiver
  • The link expiration date

For reminders 4 and 5, the email displays a highlighted note that the waiver expires on a specific date. This is intentional: late-stage reminders are more direct about the deadline.

For states that require notarization (Mississippi and Wyoming), the reminder email tells the sub to download and print the waiver rather than sign electronically. The wording adjusts automatically based on the request's state.

The subject line is always: "Reminder: Lien Waiver Awaiting Signature - [Project Name]"

If a sub's email address has previously bounced, that address is skipped and no further reminders are sent to it.

Turning reminders on or off

Reminders are controlled at the account level, not per-request.

To toggle them:

  1. Go to Settings in your dashboard.
  2. Scroll to the Automatic Reminders section.
  3. Click Turn Off to disable, or Turn On to re-enable.

When reminders are off, no follow-up emails go out for any of your requests. When you turn them back on, the schedule resumes from wherever each request left off based on its reminder count.

For team accounts, reminders are controlled by the team owner's settings. A team member's individual toggle doesn't affect reminder delivery.

When reminders stop

Reminders stop automatically when any of the following happens:

  • The sub signs the waiver
  • The sub declines the waiver
  • You cancel the request
  • The request expires (the signing link is no longer valid)
  • All 5 reminders have been sent
  • You turn off reminders in Settings

You don't need to do anything to stop reminders once a waiver is resolved. The system checks status on each run and skips resolved requests.
